Three emails that lower a renewal bill

First: the renewal-calendar trick

Most renewal charges hit on autopilot, and most vendors bill 15 to 30 days before the term ends. So the only reliable defense is a calendar reminder 40 days before every renewal date, labeled with the current price and the renewal price. Forty days leaves room to negotiate, and if that fails, to switch without downtime. Set the reminder the day you buy anything on a subscription. That one habit is worth more than every template below.

Template 1: the price match

Use when the vendor advertises a lower price to new customers than your renewal. Send to billing or support 30+ days before renewal.

Subject: Renewal pricing on account [account id]

Hi, my plan renews on [date] at [renewal price]/mo. New customers currently pay [intro price]/mo for the same plan on your pricing page. I would like to stay, and I would like the price you charge people who just arrived. Can you apply [intro price]/mo, or something close to it, to my renewal? If pricing is fixed, a longer term at a better rate also works for me. Thanks.

Template 2: the open cancellation

Use when template 1 gets a scripted no. Retention teams have offers front-line support does not.

Subject: Cancellation before [renewal date], account [account id]

Hi, please treat this as notice that I do not want the plan to auto-renew at [renewal price]/mo on [date]. I have compared alternatives at [competitor price]/mo and the gap is too wide. If there is a retention rate that closes that gap, I am glad to hear it before [date minus 7 days]. Otherwise please confirm the cancellation and how I export my data.

Template 3: the multi-year trade

Use when you know you are staying anyway. You trade commitment for a rate; the vendor trades margin for retention. Both sides get something real.

Subject: Multi-year renewal on account [account id]

Hi, my renewal on [date] is quoted at [renewal price]/mo for 12 months. I am open to committing to 24 or 36 months if the rate reflects it. What is your best per-month price for each term, paid upfront? A number close to the current new-customer rate makes this an easy yes.

When switching beats negotiating

Run your numbers in the hosting calculator or the email tool calculator. The pattern in our data: negotiation typically recovers 10 to 30 percent, while switching at the cliff often cuts the bill in half or better, because you become someone else's new customer. If the gap between your renewal and the best honor roll alternative is bigger than a month of the old bill, switching usually wins.
